Assigning Custom Tracks

The value and power of Custom Tracks come in the automation that’s triggered from assigning them to your members. Assignments are what drives reporting and automation.

You can create an unlimited amount of assignments. For instance, let’s say you have a new hiring class every month; you can create an assignment group for every hiring class.

Once your track appears in the app, you’ll notice the three options on the Track card:

  • View Track Details: Allow the Admin to access full member reports and create/modify assignments
  • Add Assignment / Member: Quickly create a new assignment or add a member to an existing assignment
  • View Reports: Once a track is assigned, you’ll have access to more in-depth reporting features to track progress

Creating a New Assignment

To quickly create a new assignment, click the “+” icon on the Track card.

Once clicked, you’ll be presented with the Assignment card. You’ll be given two options:

1) Select an existing assignment

or

2) Create a New Assignment. Click Create New Assignment

Here, you’ll give the assignment a name (Ex: March Hires) and a due date, which is optional.

Next, you’re asked to select the members that you’d like to put into the assignment group. This list is sorted by Department, then Members.

Members are listed with their Department (If applicable). If they are already assigned to the Track that you're currently managing, we will hide the selection option and replace their Department listing with the assignment group in which they’re already participating.

After you’ve selected your members and Departments, you’ll click Assign. We’ll add your selections to the assignment and confirm the action.

Members will then receive an email with an invitation to join the track. They’ll need to accept this invitation in order to officially join. If the student has not joined the track within 5 days of the original assignment, we will send them a friendly reminder email to join the track.

Adding Members to an Existing Assignment

To add Members or Departments to an existing Assignment, click that same “+” icon.

Select from the list of previously created assignments.

Screen Shot 2017-04-24 at 11.01.44 AM.pngYou may only select one assignment group. Once you’ve made your selection, you’ll select the members or Departments that you’d like added to the assignment group and follow the same process as before.

Due Dates on Assignments

Giving an assignment a due date will not lock the student out once the date has hit, but all reporting will be based off that due date (See Reporting for more details).

In addition to calculating reports off of due dates, we will also send out completion reminders to the student based on the final date.


If the student is considered "behind", they'll get an email every week, and 2 days before the due date (up until the due date). If they are on track, we'll send them a reminder 1 week out and 2 days out from the due date.
